Job Summary
Assist the Logistics Coordinator and Field Site Coordinator in the management, coordination and implementation of all logistics activities in Vinnytsia Office with a high degree of standard, accuracy, transparency and accountability according to IMC Internal and Donor's rules and regulation.
Main responsibilities
The duties and responsibilities listed are representatives of the nature and level of work assigned and are not necessarily all inclusive.
Oversee all the procurements process within the Vinnytsia Office including bidding/quotation processes, receipt of good, and compliance of all required paperwork and supporting documentation, storing and transporting of all received goods to their final destination.
Closely monitor procurement tracking and communicate regularly with programmers on procurement progress and timelines
Oversee all vehicles management including arrangement, documentation, filling system, schedule, and monthly reporting.
Oversee transport of all equipment, supplies and materials from and to field sites in a timely fashion, all the relevant dispatch documents such as procurement documents and waybills are filled and approved before any dispatch, also make sure that Quality Assurance check conducting properly upon reception of goods.
Ensure the warehouse is well organized and appropriate warehouse procedures are implemented, including monthly spot Check and quarterly physical check.
Ensure all assets are recorded in the asset list in an appropriate manner, including but not limited to physical monthly inventory, tagging, and tracking of assets
Ensure all GIKs are well managed and reported
Provide appropriate support for office and guest house maintenance.
Human Resources
Supervise, manage staff under your supervision with integrity and foresight. Actively seek advice on HR procedures and policies to ensure that the highest standards of accountability and professionalism are upheld.
Make frequent discussion with staff supervised by you, to ensure that the appropriate care and support is being offered.
Ensure that staff supervised by you are evaluated regularly, trained and/or mentored in a structured accountable manner, and written records of such are retained.
Provide input to the recruitment, selection, and performance of logistics staff, as required.
Training/Capacity Building
Advocate and plan for professional development for yourself, and any staff supervised by you.
Provide input to, and deliver, where applicable, training for national staff to increase their responsibilities in order to build capacity and ensure sustainability of programs.

Ensure the application of, and compliance with, security protocols and policies of you and your supervised staff.
Qualifications
Minimum bachelor's degree
Minimum 3 years management experience including capacity building
Have a knowledge on Ukraine and Vinnytsya market, related to commodities need by IMC in the future.
Good levels of written and spoken English.
A proactive person with initiative and drive, honesty with a high level of integrity; a team-player with good planning, time management and problem-solving skills.
Ability to establish and maintain effective partnership and working relations in a multi-cultural, multi-ethical environment with sensitivity and respect for diversity
Previous working experience using Microsoft Office package
Capable of working in a fast-paced environment
Ability to prioritize and meet deadline
Organized, with attention to detail
Service-oriented and diplomatic.
