Context of intervention
For more than 20 years, Medicos del Mundo (MdM), a campaigning medical organisation committed to international solidarity, has been caring for the most vulnerable populations domestically and abroad. It has continued to highlight obstacles that exist in accessing health care and has secured sustainable improvements in health-for-all policies. Those working for this independent organisation do not solely dispense care and treatment but condemn violations of human dignity and rights and fight to improve matters for populations living in precarious situations. MdM currently works in 44 countries across all continents where it focuses on 4 priority areas: caring for the health of migrants and displaced persons, promoting sexual and reproductive health, harm reduction associated with drug use, emergencies and crisis.
MdM has been implementing programs in conflict affected regions of Ukraine since September 2015. MdM intervenes to improve access and quality of health care services for vulnerable conflict affected populations in Luhansk and Donetsk Oblasts, namely internally displaced persons (IDPs) and host communities in government-controlled areas (GCA) and civilians remaining resident in non-government-controlled areas (NGCA).
A field team has been in place since June 2015 and is now implementing activities in government- and non-government-controlled areas of Luhansk and Donetsk Oblast in order to:
- Restore access to primary healthcare services for displaced and host populations.
- Improve specialized care for survivors of gender-based violence for displaced and host populations
Main objectives of the position
The growing complexity of the MdM operations in Ukraine makes the cross-functional program monitoring and evaluation, as well as accountability and learning management tasks increasingly important to be able to ensure the quality of MdM’s programming. The overall objective of the Data Entry Assistant will be to support data collection and input across MdM programs in order to support quality programming and accountability towards beneficiaries, donors and other stakeholders. Under the supervision of the Database Officer, the Data Entry Assistant will perform all tasks related to the processing and subsequent transfer of data into electronic databases. The incumbent is expected to be of high speed and accuracy in data entry to ensure that all necessary information is available in a quality and timely manner for the MDM accountability. The Data Entry Assistant also will assist the MEAL Officer with activities, including data collection and analysis; assisting with planning field visits; and assessments and evaluations. The Data Entry Assistant will maintain regular contact with all staff involved in the realize projects and will assist the mission with all the tasks related to MEAL system.
Duties and Responsibilities:
- Assist MEAL officer with data collection processes if needed, be ready to provide field monitoring visit, facilitating focus groups and support other qualitative data collection exercises.
- Support Complaints and Feedback Mechanism; liaise with programmes and operations to ensure prompt follow-up on feedback and complaints received.
- Support programming and field staff to ensure that projects are carried out with participation from all affected communities and that information is shared with affected communities.
- Reviews documents for accuracy and enters information appropriately into databases for use by all personnel.
- Accurately enter and update data into corresponding fields within various software programs and databases.
- Entering data into Excel spreadsheets, databases, and/or online the Kobo and the Activity Info forms.
- Effectively communicates with employees if additional information is needed to process request.
- Performs all assigned tasks accurately, efficiently, and in accordance with applicable policies and procedures.
- Maintains confidentiality and privacy of sensitive data.

REQUIREMENTS:
Skills required :
- Experience of gathering, analysing, presenting quantitative and qualitative data.
- Experience of using participatory approach .
- Demonstrated experience in data input, as well as data collection (Excel, KoBo tools ect.)
- Proficient in Microsoft Office.
- Ability to adhere to requirements for confidentiality of records.
- Ability to prioritize and work with short deadlines.
- Ability to enter data into computer quickly and accurately with attention to detail
- Ability to concentrate for lengthy periods and perform accurately with adequate speed
- Prior database management or related experience.
- Ability to work both independently and within a team environment.
- Excellent verbal and written communication skills.
- Cultural sensitivity and ability to work in a multi-cultural environment.
- Facilitation skills desirable.
Language requirements:
- Advanced Ukrainian
- English and Russian advanced (written and oral) is an advantage
