Currently, we are looking for a Senior Office Specialist for our Kharkiv office.

REQUIREMENTS

  • Previous experience in a similar role;
  • Self-directed, able to work autonomously and takes ownership of the project;
  • Ability to plan and see the “big picture”;
  • Good communication skills: write and speak confidently, concisely, and clearly;
  • Good time management skills and ability to multi-task and prioritize work;
  • Attention to detail and problem-solving skills;
  • Competent in conflict and crisis management;
  • Microsoft Outlook, Word, Excel proficiency;
  • Minimum intermediate English (B1).

RESPONSIBILITIES

  • Ensure the facility is up to expected cleaning and physical environment standards;
  • Interacts professionally with the public, vendors and staff;
  • Prepares records, reports, and other documentation related to work performed as requested;
  • Fulfil a planned preventative maintenance program;
  • Identify, report, and resolve current and potential maintenance problems by conducting regular inspections and developing schedules making sure they meet the building requirements and services;
  • Proactively maintain a safe, comfortable, and secure environment for staff;
  • Ensure compliance with applicable policies, including Health and Safety and lease obligations;
  • Responsible for supplier management, including existing service provider contracts, developing new contracts, and ensuring that service levels are being met and exceeded;
  • Supervise all facilities consultants and contractors onsite;
  • Manage competing priorities effectively ensuring that all relevant parties are informed of the status of your allocated tasks;
  • Work collaboratively and flexibly with other members of support teams as required;
  • Be available for emergency out of hours assistance and cover;
  • Managing office refurbishments, renovations and moves as well as fit-out projects including the appointment of necessary specialists and sub-contractors and monitoring delivery quality;
  • Ensure compliance with all internal procedures and policies – e.g. Procurement, Finance, Compliance, HR;
  • Ensure security and emergency procedures are robust and adhered to at all times, taking an active role in the event of emergency situations;
  • Resolving space management requests in the office.
