The ICRC also endeavours to prevent suffering by promoting and strengthening humanitarian law and universal humanitarian principles. The ICRC Delegation in Kyiv seeks to fill the following position 

Assistant & Information Management Officer 

Based in KYIV 

 AIM OF THE POSITION  

The Assistant & Information Management Officer (AIMO) oversees information management including records acquisition, compliance with basic Information Security principles and ICRC rules on Personal Data Protection. S/he acts as a reference person for a portfolio of standard tools (access rights, use, associated workflows). 

The AIMO provides high-level administrative support and s/he ensures compliance of official correspondence with ICRC standard protocol and visual identity. 

RESPONSIBILITIES 

  • Participates in discussions and follows up on the implementation of decisions and strategies. 
  • When needed, takes minutes of meetings and follows up on the action points, produces and/or updates reports and thematic files.
  • Manages appointments and organizes meetings both with ICRC colleagues and Movement partners, especially the National Society (briefings, periodic and ad hoc meetings) and with other outside contacts. Might contribute to the organization of events at which protocol must be observed, including conferences, trainings, visits by Movement Partners (coordination of all logistical aspects involved). 
  • Might draft formal and informal correspondence, procedures and directives in English; proofreads correspondence/reports/other documents and ensures optimum lay-out; if needed, translates documents from local language to English and/or liaises with translators.
  • Might support his/her line manager and other colleagues with interpretation during meetings and other events.
  • Keeps track of thematic files and can retrieve them upon request. 
  • Organizes, supervises, manages and monitors the use and update of a range of collaborative tools and databases, contributes to ensuring consistency of practices across sites/teams under the lead of the IM department.
  • Ensures internal and external site contacts are managed by means of ICRC-supplied tools.
  • Ensures institutional guidelines are respected by all colleagues in his/her team for records acquisition and intermediary archives processing and preservation.
  • In close coordination with the IM department and his/her Line Manager contributes to the implementation of institutional frameworks, strategies, projects and/or programs linked to information management in the main delegation/remit area. Acts as agent for change, ensuring that users understand and embrace the need for new IM-related projects and tools, in line with the delegation modus operandi. Provides feedback and information on users’ needs. 
  • Briefs systematically all new team members on IM principles and related topics. 
  • Assesses / collects needs and ensures regular trainings to users within his/her team on specific tools and procedures and monitors the effectiveness of their acquired knowledge. 
  • Provides workplace support and basic troubleshooting to users among his/her team. If beyond his/her capacity to solve the issue, escalates to ServiceDesk within the frame of the GSS ticketing system. 

POSITION REQUIREMENTS

 Minimum required knowledge & experience

  • Secondary school level or a technical school diploma in a relevant field or similar 
  • 2+ years’ work experience in similar field of activity
  • Good knowledge of spoken English and basic knowledge of written and spoken Ukrainian, Russian 
  • Advanced computer knowledge including Microsoft Office Suite, SharePoint, IBM Lotus Notes 
  • Negotiation skills
  • Capacity to adhere to ICRC procedures
