Job Summary 

Logistics Department works as a support function covering procurement, Logistics, transportation & Warehousing.   

The Warehouse Manager will work as part of the Logistics dept. She/he will support the IMC Health program reporting directly to the Logistics Coordinator daily. The position is based in Lviv but will require regular visits to all IMC field sites and offices. 

Main Responsibilities  

  • Responsible for the warehouse, track, records and stock management in Beirut under the supervisor of the Logistics Coordinator. Distribute, track and transport to the field as required by the program.  

  • Ensure storage, classification and organization of the NFI and material according to IMC protocols. 

  • Ensure efficient management of the stock  

  • Record medications and preparations. 

  • Follow-up movements of NFI and material (entry, exit, destinations, etc.) 

  • Follow-up on any expired items and destroyed material, quantification and their subsequent destruction. 

  • Carry out regular physical inventories in accordance with the mission's procedures. 

  • In charge of Stock level in Lviv main warehouse(s) that include all NFI. 

  • Report to the program department on commodities with shelf life less than six month and work closely to be dispensed directly. 

  • Provide accurate data (entry-exit), inventories and warehouse consumption follow-up database to facilitate efficient material orders 

  • Apply hygiene and safety procedures in the warehouse.  

  • Ensure that temperature, humidity and light exposure in the warehouse is in accordance with the requirements of the products. 

  • Responsible to manage the items donations between warehouse and the field sites. 

  • Supervise and train warehouse officers and assistants in the supported field sites. All topics related to NFI, management stock control, generating stock lists, and the proper handling of medicines. 

  • Responsible to update Stock Report on Daily Basis  

  • Is the focal point to contact all NFI suppliers  

  • Responsible to update the warehouse inspection List on Quarterly basis and insure its being implemented as needed  

  •  Provide technical support to the logistics/program teams for procurement of NFI, and equipment. 

  • Follow up on Procurements with the Logistic Department team ensuring timely procurement, transport, and delivery of supplies to NFI Store in the Central Warehouse or directly to the field sites. 

  • Will be responsible to prepare the Comparison sheet of NFI and act as the main focal point to analyze each item and chose as per Sphere standards and IMC regulation. 

  • Manage and conduct Control Inspections of medical supplies at their temporary storage areas at ports of entry, including physical attendance and collection of inspected files (invoices /delivery notes). 

  • As per the warehouse management procedure, is responsible for the correct follow up and documentation of the items in his warehouse and the in/out flow of items from / to his warehouse. 

  • Should use the appropriate documents (GIO / GRN / Waybills / Stock cards) and request signature to the appropriate staff. Is accountable for any item which went through is warehouse and should be able to provide any appropriate documentation. 

  • As per the donation procedure, is responsible for the tracking and proper documentation of the donated items in his warehouse and the in/out flow of these donated items from / to his warehouse. 

  • Focal point to do new Market Research of any new supplier to be added to IMCs vendor list  

  • Will be the focal point & part of the committee members visiting the pre-qualified suppliers.  

  • Manage all the warehouse staff

  • Send on a Monthly basis the tracking sheet of available supplies in the warehouse to the program departments and the logistics departments & update stock report as needed.  

Qualifications

  • BS degree in Logistics.   

  • At least 10 years of experience in logistics sector preferable in the NGO field. 

  • Ability to establish and maintain effective working relationships with others in a team working environment. 

  • Excellent communication and negotiation skills, sound judgment and demonstrated problem-solving skills; 

  • Knowledge of customs and transportation laws and regulations. 

  • Knowledge of accounting, storekeeping and supply procedures.
