Job Title: Project Officer (PO) Assistant (National Candidates Only)

Location: Lviv, Ukraine

Status/Term:  full time 

Deadline: 15/05/2022

Salary and conditions: Salary will be defined based on incumbent's experience and competences in accordance with the TGH's salary scale and terms and conditions.

Established in 1994, TGH (Triangle Generation Humanitaire) is a French international solidarity organization based in Lyon. The organization implements emergency, humanitarian, rehabilitation and development programs in WASH, Food Security and Livelihoods, Shelter/Rehabilitation, Education and Protection sectors. TGH currently operates in 10 countries in Africa, Asia, Middle East and Europe. 

TGH applies a 'zero tolerance' policy with regard to all misconduct affecting the professional credibility of its employees: TGH staff; partners (local or international) and service providers.

TGH strongly condemns all corporal punishment or physical violence, threats of physical violence, sexual abuse or exploitation, harassment and verbal abuse, as well as all other forms of intimidation. 

Presentation of the mission:

Operational in Ukraine since 2016 from Kramatorsk to support the most vulnerable populations affected by the conflict in the Donbass region, TGH wishes to continue and strengthen its intervention in Ukraine. In view of the current situation, part of the team has been forced to move to Lviv, a city that now hosts the entire humanitarian and diplomatic community, to ensure its safety. It is therefore from Lviv, located on the western border and still spared by the fighting, that TGH intends to propose an action to respond to the most urgent humanitarian needs. 

ROLE PURPOSE: Under the direct supervision of the TGH PO the PO assistant  ensures an efficient support to the project team in the implementation and  monitoring of the ongoing and planned UNICEF projects. He/she will do some interpreting and translation tasks if necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

Internal Coordination

  • Participate in project team meetings, support timely planning, implementation and follow up of activities implemented assigned by the Project Officer.
  • Contribute to the development of tools, mechanisms to ensure coordination of activities within the team (plans, reports, etc).
  • Regular Reporting to Officer on activities status and progress, issues and/or challenges.
  • Coordinate with relevant departments on project-related issues to ensure smooth implementation of activities (Finance/Admin, Security, logistics).

Assessments, Monitoring and Evaluation

  • Data collection follow up through approved tools and approaches (online or field-based) and sharing collected data with the project team.
  • Contribute to data analysis, PDM, final and other reports.
  • Ensure collection of all relevant supporting documents from beneficiaries. 

Programmatic activities

  • Contribute to the organising and co-facilitation of project-related trainings, meetings and other events in cooperation with Project Officer.
  • Ensure frequent update of beneficiary database.
  • Participate in regular project coordination meetings.

Administrative tasks

  • Prepare administrative documents linked with operational activities (orders, purchase requests,  etc).
  • Prepare administrative documents for field monitoring visits in compliance with internal and national security rules if needed.
  • Assist in preparation of project-related contracts and other documents in cooperation with Project Officer. 

External Representation

  • Respect all TGH values in cluster, field visits or in any relevant external events.
  • Liaise with local authorities, communities and other relevant stakeholders on project-related issues. 

Tasks and responsibilities are subjected to modifications according to the needs.

EDUCATION AND EXPERIENCE:

  • Higher education degree.
  • Experience in an administrative capacity.
  • Previous experience in a humanitarian organization is a clear advantage.
  • Technical skills:Good knowledge of  MS Office (Excel, Word, Outlook, PPT).
  • User level in Kobo, PowerBI, Google drive.
  • Knowledge of Humanitarian principles.
  • Good writing and speaking skills.
  • Language: Ukrainian and Russian. English : Pre-intermediate 
  • Very good speaking and writing skills.

  • Adaptable and flexible.
  • Able to adapt his/her posture to her/his interlocutor.
  • Good understanding of internal communication and reporting schemes.
